Software for Indian travel agencies

You'll see your margin
before your client
sees the price.

Viato carries one enquiry through to a paid GST invoice — quote, booking, ticket, bill, itinerary — on a single record, in rupees, with your name on every document that leaves your desk.

What you earn on this one trip₹ 20,900

That ₹20,900 is the agency's profit on one booking — not what Viato costs. Viato is ₹4,000 a month however much you book. Staff see the right-hand column only; you see all three, before the price goes out.

The film

Watch a Goa enquiry become a booking.

No sound needed. A lead arrives with its source, a quote catches a hotel priced below cost before it goes out, the won quote books itself, and the money lands where you can see it — client dues, the wallet and this month's profit.

The film follows one sample agency's day in Viato Workspace. Website leads arrive tagged with where they came from. A Goa quote shows cost and selling price on every line and warns that it sells below cost when the hotel is priced too low, until the margin reads plus ₹17,400. The won quote becomes bookings in one click. Unpaid balances gather into ₹7,30,530 due from clients while the wallet settles at ₹4,90,900. Invoices, e-tickets and itineraries carry the agency's own logo. The founder dashboard shows the whole business on one screen, with GPS attendance, approvals and access by desk, on laptop, tablet and phone.

The problem

You already run all of this. It's just spread across nine apps.

Enquiries in WhatsApp, quotes in Word, costing in Excel, tickets forwarded from the supplier with someone else's name on them, invoices in Tally, payments in a diary. Nothing reconciles, and nobody can tell you this month's real margin without a day of work.

Today

Nine places, no answers

  • An enquiry arrives at 11pm and is forgotten by Monday — no one owns it, no one follows up.
  • Every consultant quotes from their own Excel file, so margins vary by thousands on identical trips.
  • The ticket your client receives is a forwarded supplier PDF. Your agency's name is nowhere on it.
  • You find out a client never paid the balance when the supplier calls about it.
  • Month-end profit is a guess until your accountant closes the books three weeks later.
On Viato

One system, one truth

  • Every enquiry lands in a queue with an owner, a follow-up date and an audit trail of who touched it.
  • Quotes carry cost and selling price on the same line, so the margin is checked before the price goes out.
  • Tickets and invoices are issued on your letterhead, with your logo and your GSTIN.
  • Your supplier wallet is drawn down with every booking, with warnings before the balance bites.
  • Sales and profit after supplier cost are a tile on your home screen, correct as of this morning.
Whose name is on it

You built the relationship. Your supplier gets the credit.

You spend a week on a client's trip. The document they actually keep — the one they forward to their family — is a PDF with somebody else's logo at the top. Viato issues it on your letterhead instead.

The same is true of every GST invoice, quote and itinerary Viato produces. Drop in a supplier's ticket and Viato reads the details out of it, then reissues the document as yours.

What's inside

Seventeen screens. One spine.

Everything below is live in the product today — not a roadmap. The first group is the path a single sale walks from enquiry to handover; the rest is what keeps the office running around it.

The money chain

Leads

Website, walk-in and referral enquiries in one queue. Assigned to a consultant, with follow-up dates that don't slip.

Quotes

Price a trip line by line with cost and selling price side by side, so you see the margin before it goes out. Sent as a branded PDF, then turned into bookings in one click.

Bookings

Flights, hotels and buses against one booking record — carrying the quote and the enquiry that produced it, so revenue traces back to the channel that earned it.

Wallet

Your prepaid supplier balance — top-ups added, bookings deducted automatically, with low-balance and overdrawn warnings before they become a problem.

Tickets

Flight, train and bus tickets issued as PDFs with your logo on them. Drop in a supplier's ticket and Viato reads the details out of it for you.

Trips

Every ticket and invoice for one client compiled into a single branded itinerary — every traveller, every leg, and a billing summary.

Invoices

GST invoices with your GSTIN, TCS handled where it applies, totals worked out for you, and a numbering series your CA will accept.

Owner dashboard

Sales this month, profit after supplier cost, who's present, what needs approving and what's overdue — one screen, updated live.

Your team

People

Roles, documents, joining dates and reporting lines — the record you need the day someone resigns.

Attendance

Marked from a phone with a photo, checked against your office location. Present, absent, half-day — and a CSV at month-end. No register, no arguments.

Approvals

A manager asks to change an attendance record; an admin decides. The decision is on record, and nothing is edited silently.

Work

Tasks assigned to your team with deadlines, and an honest record of what was finished and what is running late.

Workbench

Notes and uploaded files with locks and role access, so the right people open the right things and nothing lives on one laptop.

Control

Access control

Admin, manager or staff, plus modules granted person by person. A consultant sees their bookings; only you see the margin.

Audit trail

Every price change, approval and cancellation stamped with who and when, append-only. Disputes end in seconds.

Traffic

Where your website visitors came from, how they behaved, and how many turned into an enquiry you could actually call.

Works on phones

Installs as an app on Android and iPhone, and keeps working when the connection doesn't. Your staff check in and check bookings without a laptop.

The quoting engine

Where agencies quietly lose their margin.

A quote typed into Word is a guess. Viato builds it line by line, so supplier cost and your selling price are separate fields — and the margin on every booking is a number you can actually manage.

A

Margin is a field, not an afterthought

Cost and price live on the same line, so nobody sends a price without seeing what it earns. The margin is checked before the client sees a number, not after the trip is flown.

B

Board basis built in

Room Only, Half Board, Full Board and All Inclusive are first-class options, so package comparisons are like-for-like.

C

Quote becomes bookings, then invoice

A won quote converts straight into bookings and a GST invoice — same numbers, same lines, no re-keying and no transcription errors.

D

Templates for what you sell often

Save your Goa 4N or Dubai 5N and the next quote takes two minutes rather than forty.

Getting started

Live in seven days.

The reason agencies stay on Excel isn't that Excel is good — it's that switching sounds painful. We do the painful part.

Step 01

Demo on your numbers

Bring a month of real bookings. We load them and show you your own margin, not a made-up dashboard.

Day 1
Step 02

We migrate your data

Existing bookings, client list, staff records and outstanding dues come across from your spreadsheets. Included, not extra.

Days 2–4
Step 03

Your team is trained

Two sessions — one for consultants, one for you and your accounts person. Recorded, so new joiners watch it later.

Day 5
Step 04

You go live, we stay on

First month is hands-on. After that, support stays included — you have a person, not a ticket queue.

Day 7
Pricing

Start free. Pay when it's carrying your desk.

No per-seat maths and no surprise upgrade when you hire. Every plan is per agency, in rupees, plus GST — which you claim straight back if you're registered.

Straight answers

The questions everyone asks.

What's the catch with the free plan?
None, but it is genuinely small: one login, twenty-five bookings a month, and a small Viato mark on the PDFs you send out. It exists so you can run real trips through it before you spend anything. When you hire your second person or your own branding starts to matter, you move up — and if you never do, the free plan stays free.
Do we pay for each member of staff?
No. Two people or twenty, the price is the same, and it does not change when you hire. Only the free plan is capped, at one login. We would much rather every person had their own account than have your team sharing one password — shared logins are how an audit trail becomes useless.
What happens to our data if you disappear?
Fair question to ask any small software vendor. You can export everything — bookings, clients, invoices, staff records — to spreadsheet format at any time, without asking us and at no cost. Your data lives in a database instance for your agency, and on exit we hand the whole thing over rather than a filtered report. There is no exit fee and no penalty.
We already use Tally. Does this replace it?
No, and it shouldn't. Tally is your book of accounts; Viato is your operating system. Viato produces GST-compliant invoices and a clean export your accountant posts to Tally, which removes the double entry without asking your CA to learn new software.
Our staff aren't technical. Will they actually use it?
It's built for phones first, because that's what your consultants have in their hand. Marking attendance is two taps. Raising a quote follows the same order you already work in. The training session is an hour, and the people who resist hardest are usually converted by the second week, when they stop being asked where a file is.
How is this different from a generic business system?
Generic business software has no idea what a board basis is, why a booking has supplier cost separate from client price, or that TCS applies over a threshold on overseas packages. You'd spend months and lakhs customising one to understand travel. Viato was built inside a working travel agency, so those concepts are the foundation rather than custom fields.
Is our commercial data safe from our own staff?
Roles are enforced at the data layer, not just hidden in the interface. A consultant sees their own bookings and the client price. Supplier cost, margin and the owner dashboard are restricted to owner and manager roles, and every change is written to an append-only audit trail.
Can we try it before committing?
Three ways. The free plan runs real bookings at no cost. The demo runs on your own numbers, so you're evaluating your margin rather than a sample dataset. And after that there's a pilot month at the normal price — if it isn't working, you stop, and we hand your data back in full.
Book a demo

See it on your own bookings.

Send us a month of real trips and we'll load them before the call. Forty minutes later you'll know your actual margin, who your best consultant is, and how much is still owed to you.

  • No obligation, and nothing installed on the call
  • We'll tell you if you're too small to need this yet
  • Migration and training quoted up front, never discovered later
  • Your data is never shared with another agency

One call, no obligation. We don't resell your details, and nothing is installed until you say so.
